What makes a professional score, engraving standards, electronic music documentation, and preparation for publication

Why Score Quality Is Not Optional

A score is not just a record of your musical ideas — it is the primary means by which your music reaches performers, and therefore audiences. A poorly prepared score creates friction at every stage: performers waste rehearsal time deciphering unclear notation, conductors lose confidence in the music, publishers reject submissions, and your professional reputation suffers.

Conversely, a beautifully engraved, clearly organised score communicates something important before a note is played: it says that the composer is a professional who respects the performers' time and takes their own work seriously. In a world where professional ensembles receive hundreds of scores and must programme selectively, this first impression matters enormously.

The Standard to Aim For
When preparing any score, ask yourself: could a professional performer I have never met pick up this score and perform it accurately without asking me a single question? If the answer is no, the score needs more work. This is the standard that publishers and major ensembles expect.

Professional Score Checklist

Use this comprehensive checklist before submitting any score to a publisher, ensemble, competition, or festival. These are not stylistic preferences — they are professional standards that apply across the industry:

Accidentals applied correctly and consistently, including courtesy accidentals

Clear tempo indication at the start (words + metronome marking)
Rehearsal marks or letters at regular intervals (every 8–16 bars minimum)
Expression marks translated or explained if in a non-standard language
Consistent use of Italian, English, or German terms throughout (do not mix)
Performance instructions that the performer actually needs — not decorative prose
Parts & Score Consistency
Every part exactly matches the full score — no discrepancies
Cue notes in parts for long rests (tell players what to listen for)
Page turns at logical musical moments — never mid-phrase
Instrument names on every system (abbreviated from page 2 onwards)
Transposing instruments correctly notated in both concert and transposed pitch
Bar numbers present and correct throughout

Core Engraving Principles Explained

Music engraving is the art of notating music clearly, beautifully, and in a way that communicates the composer's intentions precisely. While notation software handles many technical details automatically, understanding the underlying principles helps you make better decisions and catch errors that software misses.

Spacing & Proportionality

Note spacing should reflect rhythmic value: a half note gets roughly twice the horizontal space of a quarter note. When music is densely packed or stretched artificially to fill a page, reading difficulty increases dramatically. Good notation software handles proportional spacing automatically if you let it — resist the temptation to override it just to reduce page count.

📌 Never sacrifice clarity to fit more bars on a page. Add a page; don't compress the music.
Consistency Above All

Every notational decision you make must be applied consistently throughout the entire score. If you place dynamic markings below the staff for strings, they must always be below the staff. If you use a particular beaming pattern for a rhythmic figure, it must look identical every time it appears. Inconsistency creates uncertainty in performers: they cannot tell whether a variation is intentional or a copying error.

Hierarchy of Visual Information

The eye must be guided to the most important information first. Note heads, stems, and beams are primary — they must be the visually dominant elements on the page. Dynamics, articulations, and text instructions are secondary — they must be clearly readable but should not compete with the notes for visual attention. Use different font sizes and weights to establish this hierarchy deliberately.

📌 A performer scanning the score at sight should always see the notes first, the expression second.
Rehearsal Marks

Insert rehearsal letters or numbers at the start of every major section, and at regular intervals (every 8–16 bars minimum for large ensemble works, more frequently for complex music). A conductor who cannot say 'from letter G' is working without coordinates — and rehearsals become chaotic and inefficient. Rehearsal marks are not optional extras; they are professional infrastructure.

📌 If a conductor cannot direct your rehearsal without calling bar numbers, add more rehearsal marks.
Stem Directions and Beaming

In a single-voice stave, stems go up if the note is below the middle line of the staff, and down if above. On the middle line, stems go down (generally). In two-voice writing, upper voice always stems up, lower voice always stems down. Beaming should follow the metric structure of the bar: beams should not cross beat boundaries in most time signatures, and should group notes in ways that reveal the rhythmic structure clearly.

Page Turns in Parts

In individual instrumental parts, page turns must occur at practical moments — not mid-phrase, not during technically demanding passages, never at a point where the performer has no free hand to turn. This often requires creative layout: adding a short blank system, using a 'V.S.' (volti subito) warning, or redistributing bars across systems. Poor page turn planning is one of the most common errors in student scores.

The Rastral Size Standard
The stave size (called "rastral size" in traditional engraving) significantly affects readability. Standard sizes: orchestral scores use 6–7mm staves; chamber music uses 6.5–7.5mm; solo works and piano scores use 7–9mm. At Donemus, engravers work to these standards. If your submission score uses tiny 4mm staves to cram everything onto fewer pages, it will not be accepted without revision.

Choosing and Using Notation Software

Most professional composers today use dedicated music notation software. Each major application has different strengths, and the choice matters both for your workflow and for the quality of your output. Here is a practical guide:

File Format for Submission
Always submit scores as PDF (print-ready). Export at 300 dpi minimum with all fonts embedded. Also retain and be ready to provide your native file (Sibelius/Finale/Dorico) when requested by publishers for their own production process. Never submit screenshots, low-resolution scans, or photos of handwritten scores for professional submissions.
The Danger of Default Settings
All notation software comes with default settings that produce acceptable but not always professional results. Professional engravers routinely customise: staff spacing, note head sizes, dynamic font sizes, tie and slur shapes, and system spacing. Learning to adjust these settings is part of developing professional engraving skills.

Electronic & Electroacoustic Music: Special Documentation Needs

Electronic and electroacoustic music presents unique and serious documentation challenges. Unlike acoustic music — where a well-engraved score is sufficient for any future performance — electronic works require much more extensive documentation. The goal is always the same: the work must be fully performable by another person, in another place, at another time, without the composer being present.

This requires comprehensive technical documentation alongside the musical score. Under-documented electronic works become effectively unperformable within 10–15 years as technology changes. This is one of the major preservation challenges facing contemporary music today.

Fixed Media Works

Pre-recorded electronic sounds accompanying a live performance. The tape (or file) plays back through a PA system while performers play live. You must provide: a clearly labelled audio file (WAV, 48kHz/24-bit), a detailed technical rider specifying PA setup and monitoring needs, a timing guide showing how the live part relates to the fixed audio, and ideally a click track or conductor cue track.

Live Electronics

Real-time processing of live instruments through computer software (Max/MSP, SuperCollider, Ableton Live, etc.). This is technically the most demanding to document. You must provide: all software patches and versions, hardware requirements (audio interface, specific microphones, speakers), a full signal flow diagram, setup time requirements, and contact details for technical support. If a performer cannot set this up without you, the work becomes effectively unperformable.

Computer-Assisted or Interactive Performance

Works where the computer responds to the performer in real time (listening to pitch, rhythm, or amplitude). The score must describe all interaction points clearly — what triggers what, what timing tolerance exists, and what happens if the computer 'misses' a cue. Include a fallback procedure for technical failures. Document any machine learning or AI components used.

Notation of Electroacoustic Elements

There is no single universal standard for notating electronics, but consistency within your own score is essential. Choose from or adapt established systems: IRCAM's notation guides, Trevor Wishart's spectral notation, or purely descriptive text scores. The key is that a new performer and sound engineer must be able to understand what is required without asking you. Include a comprehensive legend in the score.

Technical Rider

Every work involving electronics must have a detailed technical rider. This is a separate document (not in the score itself) specifying: PA requirements (number of channels, speaker placement), mixing console requirements, microphone types and placements, software and version numbers, hardware specifications, setup and soundcheck time required, and any safety or electrical requirements. Without a technical rider, your work cannot be programmed reliably.

Archival & Longevity — A Growing Crisis
Electronic works face a serious archival challenge that acoustic works do not: software becomes obsolete rapidly. A Max/MSP patch written in 2010 may not run on current hardware. An Ableton Live project from 2015 may require an old version of the software. To protect your work: deposit source files with IRCAM, the Donemus archive, or a similar institution; create a high-quality audio reference recording; document all software dependencies and version numbers precisely; and consider creating a "minimal technology" version of the performance setup that reduces future-proofing problems.

Preparing for Donemus or Publisher Submission

When preparing a score for submission to Donemus or any professional publisher, there are specific technical and contextual requirements beyond basic notation quality. These requirements exist to ensure that the score can be published, distributed, and performed efficiently.

📋 Title Page vs. First Music Page — A Critical Distinction

Donemus and most professional publishers distinguish clearly between the title page (a separate page before the music) and the first music page (where the score begins). Many composers confuse these, placing elements in the wrong location. Here is the correct Donemus layout:

Why this matters
The copyright formula on the title page is a common mistake. According to official Donemus requirements, the copyright notice belongs exclusively on the first music page, in the lower left corner. This is the standard in professional music publishing — the title page serves as a cover, not a legal notice page.
Technical Requirements
  • PDF format, print-quality export (300 dpi minimum)
  • Page size: A3 portrait for large orchestra, A4/B4 for chamber works and parts
  • Staff height: instrumental parts 7mm, piano 6.5–7mm, vocal 5–5.5mm
  • All transposing instruments correctly notated; concert pitch version also available
  • Tempo, metronome, and time signatures clearly present from bar 1
Documentation to Include
  • Programme notes in two lengths: approx. 50 words and 150 words
  • Instrumentation list (exact specification, including all doublings)
  • Duration (precise, in minutes and seconds)
  • Year of composition and premiere information if available
  • Contact details and CMO registration information
Writing Good Programme Notes
Programme notes are often the first text a programmer or conductor reads about your work — they shape expectations before a note is heard. Good programme notes illuminate rather than explain. They tell a story: what inspired the work, what ideas or materials it explores, what the listener might notice or experience. Avoid technical jargon unless writing for specialist publications. The 50-word version should contain only the single most important thing someone needs to know about the piece.
